Terms of Service

This is a placeholder. The final terms will be issued as a signed agreement between Life Pass Ltd (trading as Coach Pass) and each tenant. Coaches and end users are bound by the tenant's own terms; this page describes the platform-level relationship.

1. The service

Coach Pass provides a multi-tenant SaaS platform for managing coach compliance, safeguarding, sessions, end-of-day reporting and parent communications. Access is granted on a per-tenant, per-user basis.

2. Accounts and roles

Tenants are responsible for the actions of their users. Roles (admin, DSL, coach, school partner, super admin) determine permitted actions. Users must not share credentials and must keep contact details up to date.

3. Acceptable use

  • Do not upload content you have no right to share.
  • Do not attempt to access other tenants' data.
  • Do not interfere with platform integrity, scrape it, or probe for vulnerabilities.
  • Safeguarding records must be handled in line with statutory guidance.

4. Compliance gating

Coach Pass automatically blocks assignment of coaches whose mandatory compliance (DBS, first aid, safeguarding, public liability insurance) is missing or expired. Operators are responsible for keeping records accurate and timely.

5. Fees and billing

Fees are per active coach per month, billed in advance. Plan details are at /pricing. Whitelabel and custom-domain features may be subject to setup fees.

6. Data ownership

Tenants own their data. Coach Pass processes it on the tenant's instructions in line with the Privacy Policy and any signed Data Processing Agreement.

7. Availability

We aim for high availability but do not guarantee uninterrupted service on Starter or Operator plans. Whitelabel customers may negotiate an SLA.

8. Termination

Either party may terminate with 30 days' notice. On termination, tenants may export their data within a 30-day window before it is securely deleted in line with retention policies.

9. Liability

To the maximum extent permitted by law, the aggregate liability of Life Pass Ltd (trading as Coach Pass) is limited to fees paid in the 12 months preceding the claim. Life Pass Ltd (trading as Coach Pass) is not liable for indirect or consequential losses.
